Health and Safety Measures for Spring听2023

All Cultural Program trips are designed in line with the latest travel advisories as well as French Health Ministry and World Health Organization recommendations regarding Covid-19. You may be required to wear a mask while traveling or during individual visits and show authorities a sanitary pass (proof of vaccination and/or negative test). If the local epidemiological situation makes it necessary, local authorities may require additional restrictions to reduce the spread of the virus. The Cultural Program Office regularly monitors the conditions in France as well as at all travel destinations and will send all relevant updates to trip participants. Students who have a cough or a temperature should consult a doctor and avoid traveling. Please see the Cultural Program Office for more information.

Study trips are led by AUP faculty members听in order to closely complement a student鈥檚 academic experience while at the University. The trips are organized by the Cultural Program Office in deep collaboration with faculty members so that trips carefully coincide with the courses.

Study trips are offered throughout the year to all students. Trips range from a contemporary world literature course trip to the Frankfurt Book Fair, to an advertising and branding course trip to London, with visits to multiple agencies in the city. Your politics or communications class might go to Bosnia-Herzegovina and Serbia or your environmental science class may study sustainability in Sweden. Each trip is led by two faculty members, whose local knowledge and expertise听enhance听your experience at the destination.

Registration

Registration for study trips is done the same way as registration for academic courses, online through the registration portal on MyAUP Student Services:听MyAUP > My Account > My Student Services > Registration

In order to find a study trip in the portal, enter 鈥淐P鈥 in the department field. A list of all study trips offered for the specified semester will appear. The registration window is open for study trips during the week of DROP/ADD. The last day of DROP/ADD constitutes the last official day of study trip registration. After DROP/ADD, students may contact the Cultural Program Office directly to register for a study trip, though availability is not guaranteed.

Study Trip Registration:

January 16, 2023 鈥 January 22, 2023 through your student registration portal

Study Trip Cancelation:

January 22, 2023 NO LATER than midnight

Late Cancelation Fee: FULL COST OF TRIP

*The cancellation deadline is extended for eligible students pending their Coup de Pouce award notifications.

STUDY TRIP CONFIRMATION REQUIREMENTS

Participation of the study trip is confirmed by receiving the email from Cultural Program Office (after Coup de Pouce Results announcement). Once received the confirmation email, student is required to send a copy of their passport to Cultural Program Office and the payment is due the same Friday.

Payment and cancellation

When a student registers online for a study trip, the cost of the trip is automatically billed to the student鈥檚 account in the same way tuition is billed. See Student Accounting Services for details about the student

account and related charges.听Payment for study trips must be made no later than February 03, 2023 for the Spring 23 semester. Student Accounting Services reserves the right to block transcripts & registration because of outstanding balances due to study trips.

Payment can be made the same way as for tuition: Online by credit card on my.aup.edu/payment/tuition, via bank transfer, or in person with cash/cheque.

IMPORTANT: All outstanding balances to the University result in blocked transcripts. There are NO exceptions for Cultural Program activities and study trips.

Carte de S茅jour/Visa

All study trip participants must ensure the validity of their听Carte de S茅jour听(Residence Card)听with the office of听Student Immigration Services听(SIS) .

We advise you to contact SIS at听sisataup.edu听BEFORE you sign听up听for a trip that takes听place outside of the French Territory.听Study trip participants are held responsible for knowing the visa requirements for their nationality in case of traveling outside of France.

In the event that听a visa is required,听upon a timely request from the student, the Cultural听Program Office can provide a letter that can be taken to the embassy or the consulate of the relevant country to obtain a visa.

Any student who is unable to participate in a trip because of an issue with their听Residence Card (Carte de S茅jour) or a failure to complete visa arrangements will be held responsible for the听cost of the trip.

MINORS (-18 YEARS OLD)

  • Minor students should not register a trip outside of the French Territory until they have clarified their residency in France with the Student Immigration Services of AUP.
  • Students who are issued a visa 鈥Mineur scolaris茅鈥 are covered with this visa that legalizes their stay here (and which allows them to travel and to legally re-enter France from abroad) until their 18th听birthday.
  • If student turns 18 before the semester/ upon arrival/or within the semester, they must start a residency application to apply for a听residency permit (鈥Titre de S茅jour Etudiant鈥).
  • Please take into consideration that the French Authorities may take time to process requests. During that period, students must be aware they听are not advised to听leave France until they are granted with new card听in case of re-entry issues.

Coup de pouce

Coup de Pouce听is a fund which provides financial aid to students in need who are registered in classes with study trips. The grants are funded in most part by AUP鈥檚 operational budget and by the generous donations of alumni and parents.

Coup de Pouce听applications are reviewed by two sub-committees. For undergraduate applicants, the committee is composed of one Undergraduate Student Council member, one Financial Aid officer, and one administrator from Student Development. For graduate applicants, the committee is composed of one Graduate Student Council member, one Financial Aid officer, and one graduate Administrator.

If you are registered in a class with a study trip, you may听apply for Coup de Pouce online. All Spring 2023 submissions are due by Monday, January 23, 2023 at 11:00 am. Please make sure you are registered for both the study trip and its affiliated course before submitting your听Coup de Pouce听application鈥攐therwise your application will听not be considered. After receiving your award notification, you must confirm your award and participation by email or cancel your participation in the study trip.听Failure to notify the Cultural Program office by Monday, January 30, 2023 will result in your automatic award acceptance and study trip participation.

Travel Code of Conduct & Responsibilities

As a participant in travel sponsored by AUP, I agree to:

  1. Respect cultural differences. This includes observing the proper etiquette in business/social settings, e.g. being dressed in line with social habits of the host country, respecting religious sites, being punctual for appointments, not speaking out of turn, etc.
  2. Show respect for every member of the AUP and local community by refraining from all forms of intimidation, sexual and physical harassment, and acts of prejudice that infringe on the rights of others.
  3. Refrain from behaving in ways that knowingly support, assist, or in any way attempt to enable another person to engage in any violation of the Code of Conduct. This includes my obligation to report any observed violations of this Travel Code of Conduct or听the Student Rights and Responsibility Compact, and other University policies.
  4. Refrain from irresponsible behavior, including the inappropriate or excessive consumption of alcohol.
  5. Refrain from leaving the host city for any personal excursions or trips unless authorized by the accompanying trip leader.
  6. Be prepared to travel as a group and willing to contribute positively to the programs objectives and goals. This includes staying at group housing and sharing rooms. Individual rooms will not be available.
  7. Check in on time and in person, or as otherwise required, with the designated AUP official on a daily basis.
  8. Attend all mandatory events and activities during the trip.
  9. Be on time to all scheduled events.
  10. Travel on the group flights purchased by AUP both to and from the destination, unless explicitly authorized to do otherwise.
  11. Ensure that your travel documents (passport, visas, etc.) are valid and up-to-date. You might need to apply and pay for the necessary visa for some destinations.
  12. Refrain from causing physical injury to others and myself. I acknowledge that I may be held legally and/or financially responsible for any and all injuries or damage that I cause to other persons.
  13. Refrain from causing damage to real or personal property of others. I acknowledge that I may be held financially and legally responsible for any and all damage that I cause to the property of others.
  14. Preserve the quality of facilities that I may visit or reside in during my travels.
  15. Refrain from operating motorized vehicles (e.g., cars, motorcycles, scooters, etc.).
  16. Refrain from participating in risky athletic/recreational activities (e.g., scuba diving, parachuting, parasailing, etc.).
